Create a policy

User prerequisites:

Master Administrator Permission or

Administrator Permission

Process prerequisites:

Policies allow you to manage and configure rules that restrict undue printings, at inappropriate times, with too many pages or at a high cost, among other available rules.

To create a policy > view Policies > action Create

Enter the necessary data, considering:

Name;

Enable use of this policy;

Policy type:

Both: In this case the policy will apply to all print jobs, regardless of whether the purpose is private or corporate;

Private: In this case, only jobs defined as private by users will be affected by this policy.

Corporate: In this case only the jobs defined as corporate by the users will be affected by this policy.

IMPORTANT

To determine the policy type, the print finality must be corporate and private.

Job type:

Print;

Copy;

Fax sending;

Scanning;

Filters: This configuration allows to perform a filter by policy, so that, for the policy to be applied, the document respects more than one rule or at least one of them, according to the filter.

Apply to all;

Filter properties: In this case it is possible to insert up to 15 attributes in the same filter, using the logical separators "AND" or "OR", which will determine the job policy application. For more information on each attribute, check the topic "Atributes".

💡 EXAMPLE

Attributes will be validated in the order they were added, if the job does not meet the at least one attribute, this job will no longer be filtered.

If, the separator is "AND": The policy will only lock the job when the two attributes are met.

If the separator is "OR": The policy will be applied when either of the two attributes is met.

Behavior:

Permission

Allow: This option should be used to add an exception to a more comprehensive blocking policy. In this case, when printing a document that falls under this policy, printing will be performed without restriction.

Notify station: When printing, a message with the document information will be displayed, allowing the user to cancel printing regardless of whether the document has restrictions.

IMPORTANT

Notifications will only be displayed on stations that have the NDD Print Agent module installed.

Alert: In this case, the alert will only be displayed if the document has some restriction, and the user can choose to continue printing or cancel.

Do not allow: If the document has any restrictions, a blocking alert will be displayed, and the user will not be able to print.

Notification: This option is available only when the behavior set is "Notify station" or "Alert", and allows you to define the message that will be displayed to users whenever they are notified.

  • Use default notification: By default this option is enabled, to change the information that will be displayed to the user, just disable it and insert the new message;

    The notification can be customized with the following fields: In this field you can add document-specific information in the message.

Security

Print stamp;

  • Print: In this case, in each printed page, text will be inserted with the data defined in set the print stamp.

  • Notification;

    • Notify user about this running policy: If this option is disabled, the print stamp will be inserted in the document, but the user will not be notified.

  • Do not print.

Conversion

Convert to monochrome;

Convert to duplex;

Action;

  • Suggest conversion: When printing a document that fits this policy, an alert will be displayed informing the amount that will be saved with the conversion of the document, it is up to the user to decide whether or not to convert;

  • Automatically convert: When printing a document that fits this policy, the conversion will be performed automatically without asking the user's permission or display alert, unless the notification is enabled;

  • Notification;

    • Notify user about this running policy: If this option is disabled, the conversion will be performed automatically, but the user will not be notified.

  • Do no convert: This option should be used to add an exception to a more comprehensive blocking policy. In this case, when you print a document that falls within this policy, the print will not be converted.

Members: It allows to define which users or equipment will be subject to the policy.

Apply to all: In this case, all users, printers and their groups will be subject to the policy.

Set members: It allows you to define which users, printers, or groups will be submitted to the policy by clicking "+ Add".

IMPORTANT

It is possible adding a maximum of 15 members of each type during policy creation. More members can be added in the policy edition.
